Word automatically reverts my "track changes" options

Hi,

I'm encountering a very unusual problem using Microsoft Word 2004 for Mac.

I want to track changes in my documents and have those changes show up when printed but not on screen.

When I go into the "Highlight Changes" menu item, I select "Track changes while editing" and "Highlight changes in printed document".

I leave "Highlight changes on screen" unchecked, and select "Ok".

However, when I print the document the tracked changes do not show up. And when I go back into the "Highlight Changes" menu item, I find that now only the first box ("Track changes while editing") is checked.

It seems as though Word is automatically deselecting that third box, or else it's not picking up my selection in the first place for some reason.

Other people in my workplace experience this same problem.

The only workaround we've found is to select all the boxes before printing a document, as then the selection to print changes seems to 'stick'.

Has anyone else had this problem? Any solutions would be most appreciated!!

Thanks,
Matt

Hi Matt -

Are you selecting the option to print Document Showing Markup in the Print
dialog?

Hi Bob,

Thanks for the reply.

I can't find any option to "print document showing markup" in the print dialog.

Is that definitely in the Mac version? If so, any suggestions for how to locate that option?

Thanks,
Matt

Hi Matt -

In the Print dialog open the Copies & Pages list, select Microsoft Word,
then open the Print What: list & select Document Showing Markup. You'll find
other options there as well :)

Hi Bob,

Thanks very much! I had scoured around in that print menu but somehow overlooked that drop-down box.

Is there a way to make "document showing markup" the default option?

Cheers,
Matt

Hello Matt -

I don't know of anything you can do in Word, itself, to change the default
print operation to that. However, when you go into the Print dialog & make
all your settings you can then use the Presets drop-down to name & save the
settings. It's then just a matter of selecting that Preset from the list.
The dialog will remember which Preset was last used so you only have to
re-select if after having made some other choice.

I'm sure something can be done with Apple Script, but I can't offer any
assistance there. Perhaps someone with scripting savvy will come along.

Thanks so much Bob! You have the eternal gratitude of not just me but my work colleagues as well.
