Work Calculation Error with Multiple Resources

Mitch C

I have discovered an issue while using Project and multiple resources. There
seems to be a problem calculating the overall work for a task.

When I have a task that has multiple resouces, especially when broken into
percentage of time spent on a task, the work calcuation is not correct. For
example, the task below is effort driven, and has 3 resources working on it,
the work should be 54.72 hours....

Task Duration Start Finish Work
Resources
Transition to Husker 7.6 days 6/22/09 7/7/09 40.32 hrs "Lehman
Michelle[25%],Hoeppner Kent[15%],Goldsberry David[50%]"

When I break the task into 2 tasks (like below), Project calculates the work
correctly for each task, and the overall sum is correct:

Task Duration Start Finish Work
Resources
Transition to Husker 7.6 days 6/22/09 7/7/09 24.32 hrs "Lehman
Michelle[25%],Hoeppner Kent[15%]"

Transition to Husker II 7.6 days 6/22/09 7/1/09 30.4 hrs Goldsberry David[50%]

There are some tasks that calculate correctly with 3 or 4 resources, and
some do not. Has anyone seen this before. We are using MS Project Pro, with
the Project Server 2007. We have upgraded to the latest service packs.

This is certainly effecting our resource allocation calcuation roll-up.
Thanks for any help.

Mitch,

When I create a Fixed Units - Effort Driven task, enter a duration of 7.6
days, added three resources with the same units as in your post I get
54.72hrs of work.

M

Darrel,

It sometimes calculates correctly and sometimes not. I just added a task to
the same chart, and it calculated correctly, however the first one still is
not calculating correctly (see below - New Task is Transition to Husker III -
old task is Transition to Husker)

Task Duration Start Finish
Work Resources
Transition to Husker III 7.6 days 6/22/09 7/1/09 52.8 hrs "Hoeppner
Kent[15%],Lehman Michelle[25%],Goldsberry David[50%]"
Transition to Husker 7.6 days 6/22/09 7/1/09 26.72
hrs "Lehman Michelle[25%],Hoeppner Kent[15%],Goldsberry David[50%]"

I cannot explain it. Are there dependencies that could cause this? Other
factors I am not considering?

Mitch,

I created 6 tasks changing the task type and the effort driven status each
time and used two methods for each (adding the duration and then the
resources, and adding the resources and then the duration) and every time
with the exception of Fixed Work (entering duration first) the work totals
54.72hrs.

Your second example shows 52.8hrs which still would not be correct. Your
first example shows a finish date of 7/7 which is incorrect yet the split
tasks show 7/7 and 7/1??? How aer you getting a fiisn date of 7/7?

Hi,

What you ask for is by no means guaranteed.
The resource being assigned to say 50% does not mean that its work is half
the duration; indeed there is no guarantee from these figures that the
resource works @ 50%ALL OF THE DURATION; the percentage shown in the Gantt
chart is merely the peak.
To understand what is happening, never look at the Gantt Charrt, it can be
misleading. Watch the task Usage view. Does Work for tha task equal sum of
work for the assignments? It does, doesn't it?

The reason for the later finish date was a split in the task due to already
completed work. The task was partially completed, and then put on hold for 6
days before getting back to it.

However, I have seen the problem with tasks that have had no work completed
in them.

I have been able to re-enter the tasks in the same chart, with the same
information and can correct the problem. It is just a nuissance to look so
carefully at a chart, and determine which items are incorrectly calculated,
and then re-enter them.

I am sorry for changing examples, but the initial one was corrected by
re-entering the task, and I cannot recreate.

Here is another example in the same chart that I have not yet fixed. I have
created 3 excact copies of the original task, using different entry methods,
but the same parameters (Hoeppner[50%], Kelsick[25%]. The original task is
called Stipper Plate. Here is the data from the original Gantt Chart view.
Hoeppner and Kelsick are the resource assignments.

Task Duration Start Finish Work
Work Effort Pred.

Complete Driven
Stripper Plate 1 day 7/6/09 7/7/09 4 hrs 0 hrs Yes
13 "Hoeppner Kent[50%],Kelsick Jason[25%]"

Stripper Plate II 1 day 7/7/09 7/8/09 6 hrs 0 hrs Yes 13 "Hoeppner
Kent[50%],Kelsick Jason[25%]"

Stripper Plate III 1 day 7/6/09 7/7/09 6 hrs 0 hrs Yes 13 "Hoeppner
Kent[50%],Kelsick Jason[25%]"

Stripper Plate IV 1 day 7/6/09 7/7/09 6 hrs 0 hrs Yes 13 "Hoeppner
Kent[50%],Kelsick Jason[25%]"

Below is the Task Usage view. Stripper Plate is 4 hours of work, the new
ones are all correct 6 hrs of work. I have included the calculated work on
July 6 and July 7th for the task and resource from the view.

Task/Resource Work Duration Start Finish
July 6 July 7
Stripper Plate 4 hrs 1 day 7/6/09 7/7/09 1.8 hrs 2.2 hrs
Hoeppner Kent 2 hrs 7/6/09 7/7/09 1.2 hrs 0.8 hrs
Kelsick Jason 2 hrs 7/6/09 7/7/09 0.6 hrs 1.4 hrs

Stripper Plate II 6 hrs 1 day 7/6/09 7/7/09 1.8 hrs 4.2 hrs
Hoeppner Kent 4 hrs 7/6/09 7/7/09 1.2 hrs 2.8 hrs
Kelsick Jason 2 hrs 7/6/09 7/7/09 0.6 hrs 1.4 hrs

Stripper Plate III 6 hrs 1 day 7/6/09 7/7/09 1.8 hrs 4.2 hrs
Hoeppner Kent 4 hrs 7/6/09 7/7/09 1.2 hrs 2.8 hrs
Kelsick Jason 2 hrs 7/6/09 7/7/09 0.6 hrs 1.4 hrs

Stripper Plate IV 6 hrs 1 day 7/6/09 7/7/09 1.8 hrs 4.2 hrs
Hoeppner Kent 4 hrs 7/6/09 7/7/09 1.2 hrs 2.8 hrs
Kelsick Jason 2 hrs 7/6/09 7/7/09 0.6 hrs 1.4 hrs

From the view, it looks to me like the original one is being miscalculated.
I have checked the task parameters, scheduling, etc. and all appear
identical. The sum of the task work does equal the sum of the assignments.
But, I am having a difficult time understanding why Work does not equal
Duration x Units for this one task, but is correct for the others.

Has this ever been reported before, or am I badly misunderstanding something
(which is always possible). Thanks for any insight.

I have just seen this same error, or at least a very similar error. In my case, I was not even assigning resources by percentages. I had created a task with a duration of 5 days, and assigned three resources to the tasks all at 100%. Pretty straight forward - it should have calculated 120h of work; instead, it calculated 40h. The Usage by Task view showed that one resource had 40h of work assigned, and the other two had 0h.

The task was fixed units, resource-based. I deleted the task, and recreated it using precisely the same configuration, and it then correctly calculated the work at 120h.

I still have not been able to determine why this error occurred. I will have to double-check the work calculations from now on, just to be sure. There is money attached to these numbers.

If anyone else has seen this behavior, and can help explain it, I would appreciate it.

I've seen something that might be similar when the assignment has been inadvertently
contoured. Check the Task Usage view and see if the contour icon shows up
next to the troubling assignment.

I think it was something where the contour got applied, and the assignment
changed, but the contour ended up causing issues with the calculations.
