Can't print from Word 2008 (Excel prints OK)

Hi,

I'm using Mac OS X 10.5.2 and Microsoft Office 2008. I have the latest
Office updates from Microsoft.

I have never been able to print from Word. My printer is networked,
using TCP/IP.

If I use the Word 'Print Preview' then I can see my document in the
preview. If I use the Max OS X print preview then all I see is a blank
page. If I try to print from the print button on the Word toolbar, it
complain that "Word cannot communicate with your printer".

But I can print from other applications (Firefox, Text Wrangler). I can
even print from Excel! But I can't print from Word.

Does anyone have anything to suggest? TIA for any help ...

Use File>Print (i.e. Choose Print from the File menu).

The Print button on the toolbar uses whatever print setup was stored when
you last printed something. In a new installation it can pick up some
strange settings. That error message should read "Word cannot communicate
with the printer that has been stored for use with the Print button, please
choose another printer!" Even if it is the same printer, it may now have a
different IP address :)

Go to File>Print and explicitly choose your printer (make sure it is
connected at the time).

Once you do that, Word will hold that setting and the toolbar button will
work.

driver available for the printer?

Do you have another printer available? Can you print to it?

What happens if you create a PDF?

contents, but I can't print due to the communication error.

I'd be tempted to assign it all to incorrect printer hardware setup,

I don't have a different printer available. And I haven't tried
connecting the printer directly to my iMac since it needs to be shared
with everyone else at our house. So that wouldn't be a useful solution.

The only thing I can suggest is to remove ALL your printers/print queues,
reboot, then put the CUPS printer back in.

I think Word has stored the Epson driver in error.

If this does not cure it, then we will need to blow away the Word prefs.

It sounds like there are other programs that you can't print with as well -
is it the same issue? Different in some way?

Have you tried connecting the printer to one system & designating it as a
shared printer rather than going the TCP/IP route? {System Preferences>
Sharing - Printer Sharing]

I'm also curious as to whether updating to 10.5.3 might make a difference.

Hi,

Removed ALL printers/print queues ... about a bazillion times. I'm a
firm believer in the "scientific reset".

I'm not so ready to velieve that Word has stored the Epson driver in
error. I can get different behavior from the Word 'preview' (not the
same as the Mac OS preview) depending whether I'm using a printer queue
that uses the Epson driver vs. the Gutenprint driver.

I have no qualms about blowing away Word prefs. I can always go in and
re-do my prefs. But here is an Apple newbie-running-away-from-Vista
question ... is there one or a few files to delete, which would blow
away the Word prefs? Or do I need to delete Office and then reinstall
it? (And that leads to another Apple newbie question ... what is the
way that really works to delete an application or group of applications
without leaving 'droppings' all over?)

Thanks loads, to everyone, for all the suggestions!!! I'm learning a
lot about the underlying design of the system based on all of your
suggestions, and that's quite valuable whether or not I ever get to
print from Word!

Erm ...

If I go to Finder|Help and search on "permissions" or "disk permissions"
I don't see anything about 'repairing disk permissions'. So ... I'm not
sure I've done that. Is there a better way for me to search for
documentation and help for my iMac?

My spousal unit inserts that the following paragraphs are all a red
herring due to the previous paragraph...

We had a server in pre-Mac days. And we swapped to a TCP printer to be
able to turn the server off and save electricity. If we attach it to
A's computer then A's computer must be switched on for B to print. And
vice versa. Which is a waste of electricity.

We currently have our printer connected to a Buffalo USB Print Server,
which itself is connected to our local network. Sorry for not having
described that earlier ... I'm just now understanding it ... my spousal
unit has set all this up.

He restates that the key information is in the first paragraph. And
he's trying to convince me to connect directly to the printer to
determine whether this is some kind of network issue that Word can 't
cope with, or whether Word is simply being stubborn (and probably
female). This stubborn female says it's not a usable solution so why
waste the effort ... <am I wrong?>

Well, let's take the "easy" questions first:)

Reinstalling applications on a Mac is rarely the solution to any given
problem. It usually isn't the app files that are at fault and the files that
may be broken don't get replaced during an installation anyway, so they
still have to be dealt with *plus* reinstalling reverts you to the base
version on the install disk so you then have to go through all updates etc.
It can very well exacerbate the issue & even cause other problems -
especially if not done properly.

I haven't checked in 10.5, but in 10.4's Help a search for "permissions"
brings up a list of about 25 topics, the first of which is "About testing &
repairing a Disk". The utility supplied with OS X is called Disk Utility
which can be found in the Utilities folder within the Applications folder.
There are also a number of 3rd party programs which include a Repair Disk
Permissions routine.

Not that we men gotta stick together:) but your hubby's methodology [IMHO]
is right in line with standard troubleshooting procedure. If something can
be configured in more than one way & the current way doesn't work, it's no
guarantee that the other options won't. Testing each option is instrumental
in narrowing down the field & isolating the source of the problem. However,
there's one widespread misconception that comes in to play here...

The fact is that Word (or any other application program) doesn't *print*
anything. It allows the user to create & modify the files that get printed.
Printing , however, is actually handled by the printer driver software & the
OS. The program you're printing from simply calls for the service when
needed. What sometimes makes this hard to accept is a situation such as
yours - where "one program 'prints' and another 'doesn't print'", but the OS
offers different levels of print services & each app calls specific ones.
Additionally, the file structure used by each program is different -
spreadsheets aren't the same as word processing documents which aren't the
same as pictures, etc., & not all programs of the same type call the same
services. It's a bit more involved than it appears on the surface - but it's
designed to *look* simple... And so it does when it works:)

Throw in the network configuration & that adds another dozen or so
considerations into the mix - especially with the TCP/IP which is then
acting as an interpreter. There's a lot of communication & translation going
on and the breakdown could be anywhere along the line. If the problem goes
away once permissions are repaired & with the printer directly connected to
a local system it pretty much points the finger at the server configuration.

But my printer presented me with a blank sheet of paper. (As does the

I then tried to use the toolbar 'print' button, but it still complained
that it "couldn't communicate with the printer ... ". So I think it
somehow can't communicate with my Mac OS.

No, you are not wrong. A lady is never wrong. That's our job... Sometimes
the spousal unit requires a reboot before he accepts this...

"Word" doesn't do any printing, on either Windows or Mac (not even in
Vista...).

Looked at from a scientific point of view, when you hit the "Print" button,
Word simply yells "Hey, you!! Wake up and print this on "that" printer!" to
the operating system.

It then throws a binary blob at Mac OS (or Windows) which better wake up
quick, catch the blob, render it into printer control language (PostScript,
on the Mac) and drop it on the wire addressed to the printer address passed
from the application (Word, in this case...)

The dialog boxes you see from then on are all drawn by Mac OS. Word does
not do its own file or printing, and does not draw its own dialogs for these
operations, it hooks the ones provided by the OS.

The fact that Word's Print Preview display changes, indicates that Word is
reading the printer driver. More correctly: it indicates that it has at one
time successfully read and stored the driver's properties.

I am going to take it as read that you have tried File>Print and chosen a
printer. This operation causes Word to store the printer properties ready
for use with the Print button.

Now, I am a little confused as to what you mean by "Mac OS" print preview vs
Word's "print preview". Actually, I am totally baffled. Because there is
only one 'print preview' and it is generated by Mac OS X, no matter how you
get to it.

So I need a set of numbered steps: every keystroke you hit, to get to each
method. I need to understand what is different.

If you open a document in Word, then do File>Print and drop down the PDF
list and choose "Save as PDF", then open the resulting PDF in Adobe Reader
and print from there, what happens?

The whole problem of "Preferences" is a pain on the Mac. The main
difference between Mac Unix and the Windows Registry is that Mac scatters
application settings all over the file system like a mad person's breakfast.

To reset the preferences in Word:

1) Quit all Microsoft applications.

2) Track down all instances of pre-2008 Normal template on your computer,
and drag them to your desktop. The file is called simply "Normal" and has
no extension.

3) Find and drag the file Normal.dotm to your desktop. Unless you have
moved it, it should be in
/Users/ ~ /Library/Application Support/Microsoft/Office/User Templates/

4) If the following files exist, Remove or rename them:

~/Library/Preferences/Microsoft/Word Settings (10)

~/Library/Preferences/Microsoft/Word Settings (11)

User/Library/Preferences/com.Microsoft.Word.plist

User/Library/Preferences/Microsoft/Office 2008 (the whole folder!)

5) Now re-start Word 2008 and it should be OK.

Be thorough with this, if you leave any of these files behind Word 2008 will
find them and won't replace them. Do it right and Word will construct a
new, clean, set of preferences and everything should now work.

Desperate to Print

On a similar note, I am very new to Macs. I bought a printer today and urgently need to print off before tomorrow. I have a Lexmark x5495 and am running OS X 10.5.3 on a Macbook. I have had absolutely no luck getting anything printed at all.

So far I have tried re-installing (but note the comments above), switching on and off and nothing works. If I try to print a page from Word the software crashes. This happens for PowerPoint also - I didn't try Excel. I did try printing from text edit and that didn't work either. The printer has successfully printed a test page, so it must be the OS I think. Any suggestions gratefully received before I give up and have a cry/eat chocolate/find the whisky/ all of these

You may have just bought the printer *today* but there may well have been a
half dozen changes made to OS X and/or your software (by way of updates)
since the printer was *packed* by the manufacturer. Therefore the driver
software that came in the box could likely be out of date.

Go to the mfr's web site to see if there is an updated printer driver. If
so, download & install it, run Disk Utility - Repair Disk Permissions, then
restart your Mac & see if you have better luck.

If not, go back to the Lexmark site with your issue and try the Apple
Discussions forum at the link below. I'm afraid there isn't much more a
Microsoft Word newsgroup can do to resolve it as printing isn't done by the
programs - it's done by the OS & the driver. Apparently one or the other
isn't cooperating when the request to print is being made & that issue needs
to be resolved before you can rely on any program to get your printing done.

Thank you for your comments. I take your point re the forum. I have tried everything and decided very late last night that it was beyond me! For the record, the USA Lexmark site does have a page on this very issue but that solution didn't work either!

I had tried importing adriver from the Lexmark site but according to the US site that is not the solution.... It certainly didn't work for me.

The repair disk bit was a help though, so thanks again and I will try the link you suggested. I just wish I had bought ANY other type of printer!!

Hello,

Did anyone resolve this issue? I'm having a similar problem:
macbookpro 10.5.4 with word 2008. Gutenprint 5.20 beta 3 driver for
epson stylus c120 via airport express. I can print from excel, text
edit, and other programs (i'm assuming) but not from word. Nor will
the print to pdf function work. The preview shows the right number of
pages, but they're all blank. Not much help on the apple's support
site. someone recommended re-writing the .ppd file and removing
certain printer resoltions ????

this is super frustrating since all my software/hardware/drivers are
seemingly brand new! anyone have any ideas? thanks a bunch!

Well, this is really not a "Word" issue, or a "Microsoft" issue or an
"Apple" issue. It's an "Epson" issue.

What's happening is that Word requires a two-way exchange of information
from the printer driver to tell it what the characteristics of the printer
are. Most other applications just "guess" but Word needs to know, so that
it can do WYSIWYG.

So Word makes higher demands on the printer driver than many other
applications. You may never get it working with the Gutenprint driver,
because the Gutenprint driver may never be able to send back the information
Word is looking for.

My first thought is that your time may be more precious than a $70.00
printer: you may want to dump that printer and buy a different model that

Just remember: "Beta" means "Better have another way to do it as well,

Did anyone resolve this issue? I'm having a similar problem:
macbookpro 10.5.4 with word 2008. Gutenprint 5.20 beta 3 driver for
epson stylus c120 via airport express. I can print from excel, text
edit, and other programs (i'm assuming) but not from word. Nor will
the print to pdf function work. The preview shows the right number of
pages, but they're all blank. Not much help on the apple's support
site. someone recommended re-writing the .ppd file and removing
certain printer resoltions ????

this is super frustrating since all my software/hardware/drivers are
seemingly brand new! anyone have any ideas? thanks a bunch!

Since it's been a month since the last exchange in this thread with no
confirmation from the OP we have no way of knowing whether it was resolved
or not :-( And even if we assume that it was, we still don't know whether
the suggestions offered here are what resolved it.

I can say that I concur with John McGhie - I've never had acceptable results
with the Gutenprint drivers for Epson (C80, PS R800) myself... And I've only
tried them for local connections, not wireless networks.

I'm not understanding why you have to use a special driver for the Epson
printers. Although that might be an Epson problem.

I've used a HP990cse inkjet attached to a Airport Express for couple of
years now.

The only problem I run into with anything is checking Ink levels on
OSX.3.9 when I have my laptop running I don't even have a problem with
that. just plug into the USB connector on on the airport express. The go
to printer utility and set up for the printer on network and *your ready
to ride Clyde*.

Hp Printer are just so much better. most the paper lays flat as in a
laser printer or copying machine most allow foe built in front and back
printing. And the best I like of all is each time you buy a new
cartridge you get a new print head. On Epson if print heads get clogged
and they can't be unclogged you either have to deep six the printer and
buy a new one or send and have repaired and by the time you do that, it
would be better to deep six printer. Its a lot cheaper to replace ink
Cartridges than printers. I'm still using the same DJ990cse I bought
originally new.

I've used three printers since I've first had a Mac. (SE/30) an Apple
Imagewriter II.

Then I first had a DJ 650c, then this 990cse. So talk about HP printer
being reliable.

People fuss about the expense HP Cartridges. but the advantage is with
each Cartridge you get the new print head so Its like putting in a new
set of heads for price of cartridge.
