Re-Creating Entourage After Computer Crash

Afteracrashyour data can be ³lost². See these solutions:

<http://www.entourage.mvps.org/troubleshoot/crashes.html#crash15>

Your previous situation wasn¹t a result of acrashwhen rebuilding brought
back your data. That might not be a solution this time, but it¹s a bit early
to say for sure.

What size is the new Identity? The default size is 18 MB.

Your User folder/Documents/Microsoft User Data/Office 2004
Identities/Main/Database

Diane,

My main database size is 20.1 mb. I have only one identity,
'Main' (folder) and 'database'.

Hi, Here's the way things related to "Microsoft User Data" are in my
user (the house?) folder.

There are three folders in the house folder.

1. "Documents", with an icon in the middle of the folder. In that
folder there is the folder "Microsoft User Data" which contains a
dozen or so Autorecovery files then:
Entourage Script Menu Items
Entourage Sound Sets
Entourage Temp
Normal
Office 2004 Identities
Saved Attachments
Word Work File A_5
Word Work File A_1255801718
Word Work File A_2033769881

2. My "Documents" folder in which I keep many many folders and files.
It's my main 'file cabinet'. Here is also contained 'Microsoft User
Data'. Here also are even more autorecovery word files, word work
files, and also these files

Entourage Script Menu Items
Entourage Sound Sets
Entourage Temp
Import Mappings
Normal
Office 2004 Identities
Printing Forms
Saved Attachments

3. Finally, again in 'My Documents" is a third folder, and it contains
only a 'Microsoft User Data' folder in which are:
Entourage Sound Sets
Entourage Temp
Office 2004 Identities

In Office 2004 Identities there's 'Main Identity' folder, but it's
empty.

I think this is a mess.

This is NOT your original database. It appears to be a newly created one
with a little bit of data added.

Have you done a search for ³Microsoft User Data² or ³database² to see if the
files are still on your computer?

There are three folders in the house folder.

Snipped...very good that you provided the info that allows me to advise you.
I think this is a mess.
I agree! :)

This is what you need to do. Check the size of the database files and see
which one is the largest.

It¹s important to have only ONE Microsoft User Data folder.

Next, we¹re going to rename all of your MUD folders. Do this in the Finder.
Rename the Main Identity (located in the Office 2004 Identities folder)
Main_one, Main_two and Main_three . Be sure Main_one is the largest.

Move all Identities to the default Microsoft User Data folder in root.

Tip: when you open an Entourage Identity under Entourage in the menu bar
select "Work Offline". We don¹t want anything new until we have finished the
transition.

Open Entourage and it should either ask for what folder to open or open with
a new Identity. If it didn¹t ask what Identity to open and opened with a new
Identity, let¹s check the Microsoft User Data folder for this new Identity.
Do you see a Main Identity?

OK, now YOU know what Microsoft User Data folder Entourage is using. Move
this folder to the desktop (we¹ll delete it later It¹s blank.) but right now
we¹re going to save it to see folder structure for the Microsoft User Data
folder to make sure you have all the folders needed.

Next step is to merge your Identities.

1. Under Entourage in the menu bar, select Switch Identity.
2. Select Main_one and RENAME it Main.
3. Check it out. See any problems?
4. Switch Identity again and this time open Main_two.
5. You need to export your data. (see below)
6. Switch Identity again and this time open Main_three
7. Export the data
8. Switch Identity again and select Main Identity
9. Import your data that was exported.
10. Clean up your data. See remove duplicates scripts below.

Export data from one Identity to another. There are a couple of different
ways to do this. A lot depends on how much mail is in those folders.

1. Under File in the menu bar, select Export as an Entourage archive. Check
all options to export.
2.Export manually. Under File --> Export select to export your contacts as a
tab delimited file. (personally, this is a good way to backup your contacts
since the file can be opened in excel. So even if you do #1 export as an
Entourage archive I would export your contacts as a tab delimited file for
archiving purposes.) To export your mail, you can drag folders to the
desktop as MBOX files. Subfolders have to be dragged individually, or you
can use a script Export Folders see link below)

For full details on export see this page:

<http://www.entourage.mvps.org/database/backup.html>

Export folders

<http://scriptbuilders.net/files/exportfolders1.1.html>

The script will fail on a folder with corruption.

Now to clean up the remaining files. You can visually merge your Entourage
script folder and the Entourage Sound Sets folder. The Temp folder should be
empty. Now move over your other Office files like Normal, Printing Forms
Saved Attachments. Move the extraneous Microsoft User Data folders to the
desktop to save them for trashing. When you are satisfied you have all of
your data in ONE Microsoft User Data folder, delete them.

Edit out duplicate messages. "Delete Imported Duplicates"
<http://www.scriptbuilders.net/>

Edit out duplicate contacts. Get script, Categorize Duplicate Contacts by
Allen Watson <http://www.scriptbuilders.net/>

More scripts for dealing with duplicates:

<http://www.entourage.mvps.org/faq_topic/duplicates.html>

Lastly, keep your My "Documents" folder as your main 'file cabinet'. Just
don¹t put the Microsoft User Data folder there. :)

Diane,

Thanks.

For starters, before I begin to follow your instructions, I've done a
search for ³Microsoft User Data² and 365 documents come up, and 68
folders come up.

I've done a search for "database" and there are 2 applications, 2
folders and 1400 documents that show up.

I'm not going to touch a thing until I hear back .

Rafael
PS if I do "snipped" does that mean I lose my entire record of that
part of the correspondence?

For starters, before I begin to follow your instructions, I've done a
search for ³Microsoft User Data² and 365 documents come up, and 68
folders come up.

Did you check to see where these folders reside? Something does not sound
right about the number of Microsoft User Data folders you are seeing. If you
want to send me a screen shot of your folders opened I can see what I can do
to help you organize.

<http://www.entourage.mvps.org/support_options/email.html>

Click on the link Newsgroup Support. Do NOT change the subject or your email
will get lost in my junk folder.
I've done a search for "database" and there are 2 applications, 2
folders and 1400 documents that show up.

I'm not going to touch a thing until I hear back .

Just work on the Microsoft User Data folder that you mentioned in your
Documents folder. I'm pasting that again here:
There are three folders in the house folder.

1. "Documents", with an icon in the middle of the folder. In that
folder there is the folder "Microsoft User Data" which contains a
dozen or so Autorecovery files then:
Entourage Script Menu Items
Entourage Sound Sets
Entourage Temp
Normal

Word Work File A_2033769881

3. Finally, again in 'My Documents" is a third folder, and it contains
only a 'Microsoft User Data' folder in which are:
Entourage Sound Sets
Entourage Temp
Office 2004 Identities

In Office 2004 Identities there's 'Main Identity' folder, but it's
empty.

Rafael
PS if I do "snipped" does that mean I lose my entire record of that
part of the correspondence?
Snipped just means that part of the message was edited. You loose what was
snipped in that particular message.
